Please ensure all taks are completes before you leave

  • Phone (night mode)
  • Please ensure the night mode has been turned off in the morning
  • Please turn the phone on night mode when finishing at the end of the day
  • Appointment Book
  • Please check appointment book at the start of the day to make sure everything looks right
  • For example:
  • If someone has replied ‘No’ to an appointment reminder message, please follow up.
  • Any medicare patients booked with Non-VR GP
  • Tasks under Reception column in Appointment book 
  • For any tasks under appointment book, please put your initial and mark appointment as completed when done
  • For any notice, please ensure you have read them and put your initial
  • Scan all files on the day  
  • Shred all files on the day  
  • Store and distribute fax/letters/emails (Tuesday, Thursday and Saturday)
  • Check Emails 
  • Webmail: customercare@aimhealth.com.au 
  • Gmail: aimhealth.mel@gmail.com 
  • No reply gmail  
  • Refill printer only fill to half full, otherwise paper jam 
  • Tidy up consultatio rooms including beds and tables
  • Change Rubbish bins, including bins in nurse/doctor rooms. Do not change yellow bin. 
  • Change Doctor’s name cards on door according to next day’s roster 
  • Remind any allied healths/specialist about next day appointments
  • Settlement  
  • HICAPS 
  • NAB 
  • Cash report 
  • Allianz  
  • Finalise all Accounts/Billings  
  • Cash & Valuables 
  • Doctors to take daily cash before leaving AND sign cash form. 
  • If cash remains, must give to Coco OR Dr Guo OR Joe
  • All clinic mobile phones and HICAPS terminals  locked in cabinet in TR room at end of day. 
  • Check if any Sample/Specimen left in clinic? 
  • For blood samples, call courier to pick up  
  • Other specimen, ask nurse if needs to contact courier to pick up today, if not: 
  • put in pathology fridge 
  • Write on next day’s appointment book (e.g 4cyte sample in pathology fridge) 
  • Leave a note on 4Cyte’s desk if it’s a sample 
  • Check if any DNA today  
  • Need to refund HICAPS? 
  • Need to write notes/block in HE? 
  • Need to charge CANCEL fee? 
  • If you have unfinished non urgent tasks, please hand it over to the staff working on the next day by leaving notes on next day’s appointment book. 
  • Security 
  • Turn off light in reception/waiting/pharmacy area  
  • Lock sliding door; ensure rear door and pathology door is locked. 
  • Physically check three fire doors (lobby side, lift side, rear) to confirm bolts engaged and no obstruction.
