📢 Important Update | CASA Aviation Medical Fees & Process Updated (Please Read Carefully)
Hello everyone,
We have officially updated the CASA Aviation Medical fee structure and overall workflow. There are significant changes compared with the previous version.
All nurses and reception staff must carefully review the latest PDF, details refer to

From now on, all CASA-related bookings, enquiries, and procedures must follow the new process.
Key Updates – CASA Medical Exams
1️⃣ Fees
- Standard fee: $240 → $330
- Student concession: $200 (no nurse pre-visit consultation included)
2️⃣ Workflow for Non-Student Clients
- Patient registers and pays $40 deposit via Healthengine (required for CASA bookings).
- Reception confirms the deposit is successfully paid.
- Book 20-minute nurse pre-visit phone consultation.
- Nurse arranges in-clinic physical assessment.
- Remaining consultation and testing fees charged according to the new fee structure.
Notes on Healthengine Nurse Booking
- Online time is for registration/deposit only; it is NOT the final appointment time.
- After registration, clients must contact reception to schedule the nurse consult or in-clinic assessment.
Customer Information PDF
- Updated PDF saved on all MCMC desktops under “Information Sheet” and shared in the group.
- Always send the PDF to clients first and confirm they have read it.
If anything is unclear, confirm in the group chat or check with me to avoid inconsistent information.
1️⃣ Gardasil 9 Price Update
Due to another supplier price increase, Gardasil 9 is now $230.
❗ Please do NOT quote $220 anymore.
All pricing discussions must use $230.
2️⃣ Payment Workflow Reminder (Very Important — Strictly Enforced)
We recently had another incident where a patient refused payment and left after seeing the doctor.
Therefore, all chargeable patients must pay before seeing the doctor.
If the final item number differs from the prepaid amount, adjustments will be made afterward (refund or additional payment).
This workflow has long been implemented at the Doncaster clinic and has proven smoother for both reception and doctors.
MCMC and 1253 must now follow the same rules:
🔹 MCMC Clinic (Chargeable Patients)
1. OVHC patients requiring gap fee / FVG
- $50 gap fee upfront
- Weekend gap fee: $30
2. No Medicare, no insurance, or overseas insurance
- New patient: $135
- Existing patient: $95
- Weekend: $150 (new) / $110 (existing)
3. Pay first, then patient claims insurance themselves
(e.g. BUPA / NIB OSHC / OVHC without card, or CBHS patients at MCMC)
- VR GP:
- New: $135
- Existing: $95
- Non-VR GP:
- New: $88
- Existing: $71
- Weekend: + $50 on top of weekend item numbers
🔹 1253 Clinic
1. No Medicare, no insurance, or overseas insurance
- New patient: $135
- Existing patient: $95
2. Pay first, then patient claims insurance themselves
(BUPA / NIB OSHC / OVHC patients without card)
- VR GP
- New: Item 36 + 75870 rebatable amount
- Existing: Item 23 + 75870 rebatable amount
- Non-VR GP
- New: Item 54 + 75870 rebatable amount
- Existing: Item 53 + 75870 rebatable amount
3️⃣ Special Reminder | BUPA OVHC (Very Important)
Many BUPA OVHC policy levels do not include GP consultations, and even when covered, limits are often low and easily reached.
⚠️ Recently:
- A patient successfully claimed at 1253 in the morning
- Later attended MCMC for vaccination but had already reached their limit and could not claim again
👉 For all OVHC patients, especially BUPA OVHC:
- Eligibility must be checked by processing a claim every visit
- Do NOT rely on quotes
- Submit the claim first; if the doctor later changes the item number, cancel and resubmit the claim as needed
- Even if the patient has just seen another doctor, always attempt a new claim check
4️⃣ Dr Pham Sunday Clinic Reminder
- Dr Pham runs clinics every second Sunday morning
- Appointments usually fill quickly, but weekend cancellation rates are high
Reception responsibilities:
- Clearly emphasise the cancellation policy when booking
- Saturday reception staff must:
- Check whether Sunday patients have responded to reminder messages
- Call patients who have not responded to confirm attendance
- If fully booked, patients may be placed on a waiting list and contacted if cancellations occur
